Fort Worth, TX. January 29, 2020 – Shamrock Solutions' development and deployment of custom scripts coupled with custom e-form development effectively pulls in and pushes data highly efficiently. The solution helps further reduce manual steps that TCU had to deal with and consequently further speed up the admission process.
Texas Christian University had deployed Perspective Software process and content management solutions a couple of years ago. Automated systems help to reduce a lot of manual processing associated with the admissions process. Using the then-new systems led to TCU being able to transition an otherwise paper-heavy system. It also led to the university experiencing a massive surge in applications that required that further manual steps be eliminated.
Shamrock helped to ensure that the Perspective System was running at peak efficiency, which was needed to handle the content flux. One of the scrips Shamrock designed was to empower Perspective Content to check PeopleSoft for new SAT and ACT scores related to a student that was missing from their project folder. Since students will take several tests before and during the process of applying, new scores are often submitted before a decision is made. Students will also submit class rank info, recommendation letters and other information which is hard for counselors to find without manually searching for them.
Shamrock was also designing and publishing new and updated electronic forms to make information sharing and capture for the admissions department more efficient. Shamrock’s added date and time stamps to each e-form. Furthermore, the ability for users to edit or delete comments that were made by others during the evaluation process was eliminated to ensure data integrity. Additional manual data entry steps were also eliminated which reduced instances of errors.
“Shamrock finished our ImageNow scripting and e-forms in less than a month, which was ahead of schedule,” Appleton-Kuntz, Director of Admission Information Technology at TCU says. “The fact that they had two professional services projects running for us simultaneously and were able to stay organized and responsive with both impressed me.”
Appleton-Kuntz also said that without the deployment of Shamrock’s custom scripts and their enhanced functionality, it would be a challenge to meet the deadlines for their students. Statements such as these aren’t uncommon from admissions departments who are under increasing pressure to speed up processing.
Automation, for the most part, can handle 70% of the work, by eliminating 90% of repetitive tasks. So, universities like TCU can process more admissions in a shorter time. Businesses like Shamrock are an invaluable asset for universities that can improve their efficiency many folds using automation.
